Privacy policy

1. Who we are
McLeod Media Limited is a company registered in Scotland, company number SC877714, with its registered office at Clyde Offices, 2nd Floor, 48 West George Street, Glasgow, Scotland, G2 1BP. In this policy “we”, “us” and “our” mean McLeod Media Limited.
We are the data controller for personal data collected through this website and in the course of our client work. Our ICO registration number is [ICO NUMBER TO BE ADDED]. You can reach us about anything in this policy at support@mcleodmedia.co.uk.
2. What we collect
We only collect what we need, and most of it you give us deliberately.

We do not intentionally collect special category data, and we ask that you do not send it to us.
3. Why we use it
- To arrange and hold the call you booked, and to follow up on it.
- To provide our services under a contract, and to invoice for them.
- To send marketing emails where you have asked to receive them, and to measure whether they are read.
- To understand how the site is used so we can improve it, where you have consented to analytics.
- To measure the performance of our own advertising on Meta, Google and LinkedIn, where you have consented to advertising cookies.
- To keep records we are legally required to keep, and to deal with any dispute.
We do not sell personal data, and we do not use it to make automated decisions that have a legal effect on you.
4. Legal bases
Under the UK GDPR we rely on the following:
- Contract — to deliver services a client has engaged us for, and to arrange a call you requested.
- Consent — for marketing emails, analytics cookies and advertising cookies. You can withdraw consent at any time.
- Legitimate interests — to run and secure the business, respond to enquiries, and keep records of who we have spoken to. We have considered your interests and rights in reaching this position.
- Legal obligation — for tax, accounting and company law records.
7. International transfers
Some of our providers are based outside the UK, principally in the United States. Where data leaves the UK we rely on UK adequacy regulations or on the International Data Transfer Addendum to the EU standard contractual clauses, together with any additional safeguards the transfer requires.
8. How long we keep it
- Enquiries that did not become clients — up to 24 months from the last contact.
- Marketing subscribers — until you unsubscribe, and then a suppression record so we do not email you again.
- Client records — for the engagement and then 6 years, to meet accounting and limitation requirements.
- Website analytics — as set out in the cookie policy.
9. Security
Access to systems is protected by strong unique passwords and two-factor authentication. Client advertising accounts are accessed through delegated partner access rather than shared logins. Access is limited to those who need it. No system is perfect, but if a breach were to put your rights at risk we would report it to the ICO within 72 hours and tell you where required.
10. Your rights
You have the right to be informed, to access your data, to have inaccurate data corrected, to have data erased, to restrict or object to processing, to data portability, and to withdraw consent where we rely on it. To exercise any of these, email support@mcleodmedia.co.uk. We will respond within one month.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would rather you raised it with us first so we can put it right.
11. Children
This site and our services are aimed at businesses. We do not knowingly collect data about anyone under 18.
12. Changes
We will update this policy when our practices change. The version number and date at the top will change with it, and material changes will be flagged on the site.
